DESCRIPTION:

This position includes independent work assisting the Director of Maternal/Infant/Child Home Visiting with the operation of the Healthy Families Program and data entry for the Nurse-Family Partnership Program. This position is part time, 20 hours per week. This position is headquartered in LaBelle, FL and reports to the Director of Maternal/Infant/Child Home Visiting.

REQUIREMENTS:

Minimum three (3) years of recent administrative, accounting, secretarial, or clerical experience; OR an
associate degree from a U.S. accredited college or university plus at least (1) year of experience; OR a
bachelor s degree from a U.S. accredited college or university.

Experience with data entry and advanced skill with computer programs including Microsoft Office
applications (Word, Excel, Outlook, PowerPoint, and Publisher, etc.)

MAJOR DUTIES AND RESPONSIBLITIES:

  • Records all budget and fiscal information into spreadsheet format and assists with budget preparation.
  • Assists with monthly invoicing.
  • Researches and purchases program supplies with state purchasing card; receives, organizes, and reconciles all purchases.
  • Enters all programmatic data for into the Healthy Families Florida data system.
  • Enters all programmatic data for into the Nurse-Family Partnership data system.
  • Prepares and mails client correspondence.
  • Maintains data on in-house spreadsheets for screening and assessment information.
  • Updates and maintains program forms and various program materials.
  • Maintains filing system for program materials including videos and DVDs.
  • Responsible for organizing and ordering office supplies and program curricula.
  • Takes meeting minutes for the Director of Maternal/Infant/Child Home Visiting Unit.
  • Assists with quality assurance activities, including file reviews for data to file accuracy.
  • Assists with activities, plans, and reports for the Florida Healthy Babies project.
  • Maintains Healthy Families client files, including ongoing file reviews, scanning, and proper records destruction per state guidelines.
  • Prepares flyers, notices, etc. for parent meetings and program graduations.
  • Assists with planning and carrying out parent group meetings and graduation celebrations, as needed.
  • Assists with other related duties for program operations.
  • Other duties as assigned.

    KNOWLEDGE, SKILLS, AND ABILITIES ESSENTIAL TO THIS ROLE:
  • Ability to collect and enter data.
  • Advanced skill with various computer applications, including Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.) and online data systems.
  • Knowledge of accounting principles.
  • Advanced written and verbal communication skills.
  • Ability to work flexible schedule.
  • Ability to lift 20 Lbs.
